Notice of Change

eSOMS Notice of Change (NoC) provides personnel with a software tool to manage the complete life-cycle of the NoC process. Implementing an automated NoC process helps to ensure that personnel are notified of changes to procedures and practices in a timely manner and facilitates access to NoC related information. Reporting tools allow management personnel to quickly determine the status of end-user NoC acknowledgement.
Part of the NoC process refers to the preparation, distribution, delivery, access, acknowledgement and maintenance of changes to a variety of entities external to eSOMS such as:
- Required Readings
- Management of Change
- Operational Guidelines
- Notice of Routine Duty Change
- Standard Operating Procedures
Also included in the NoC process is the generation, delivery and tracking of automatic notifications from modules within the eSOMS suite such as:
- Clearance holder sign-on/off
- Operator Rounds reading alerts
eSOMS Notice of Change features:
NoC Administration – this portion of the process covers the preparation, distribution, maintenance and reporting of NoC. Each NoC requirement is defined by a NoC record. A NoC record may contain details, attachments, and notification assignments. Details include general descriptive information about the NoC. Attachments may include embedded or linked documents (e.g. .doc, .pdf files or hyperlinks). Notification assignments can be made by eSOMS security group, department, organization or individual. Once approved, NoC records are delivered to assigned users. The acknowledgement status of NoC records can be tracked and NoC records eventually closed and archived.
NoC Delivery & Acknowledgement – the delivery, access, and acknowledgement of NoC records by end-users is managed by the eSOMS Messenger. The messenger is a component of the eSOMS Suite and is automatically activated each time a user logs into a module - making it an integral part of routine duties. Once delivered, users can access information associated with a NoC record or request additional information. NoC records designated as urgent require immediate acknowledgement before access to the eSOMS Suite is granted - others can be acknowledged at the user’s convenience.
